Long-haul guests may reach Crete after an overnight flight, one or more connections or a journey that began the previous day.
The stay itself is unaffected by that. The arrival day is not. A few decisions made in the right order remove most of the friction.

This is the sequence that works, and it is worth resisting the temptation to reverse it.

Long-haul flight options and seasonal connections can shape the arrival time. Confirm the itinerary first, then plan transport, shopping and the first evening around it.
Compare the current flight options for Chania and Heraklion, then use the relevant airport guide once the itinerary is confirmed.
Crete has no direct flights from North America, and few or none from anywhere else long-haul. You will connect, in Athens or at a European hub, and the connection is where arrival days go wrong.
Two things are worth knowing before you choose the flights. The first is that the entry formalities happen at the first airport where you land in Europe, not at your final destination: if you connect through Athens, Frankfurt, Munich or anywhere else, that is where you queue, and Crete is then a straightforward arrival. The second is that those queues have grown since the EU’s Entry/Exit System came in, because most non-EU visitors now register fingerprints and a photo on their first entry.
So leave about three hours at that first European airport. Several of the large hubs now advise something close to it themselves. If your itinerary offers less, ask the airline what connection time it requires and what applies if the onward flight is missed, before you buy rather than after.
The last leg is the easy one. Athens to Heraklion takes about 55 minutes and there are several flights a day; Chania has fewer. From Heraklion Airport the villas are approx. 73 km (about an hour by car), from Chania Airport approx. 79 km (about 75 minutes). Send Argyris the full routing once it is booked, and the rest of the arrival can be planned around it.
Not just the final flight. The complete routing, with the connections.

It costs you one message and it means that when something moves, the shape of your journey is already understood. If a connection is missed or a flight is delayed, send Argyris an update as soon as practical.
There is no correct answer, only the one that fits how you expect to feel.
A hire car from the airport gives you more flexibility from the moment you land, which suits guests who have travelled well and want to shop, explore or simply not depend on anyone.
A private transfer means the last leg is somebody else’s responsibility. Ask Argyris and he can suggest a transfer company. Final availability, vehicle, price and terms are confirmed with the provider, and payment is made directly to them.
A mixed plan (a transfer on arrival and a hire car later) may suit guests who prefer not to drive immediately after a long journey, and it is worth asking about early.
Whether you want to drive immediately after a long flight is your judgement to make. If you would rather not, arrange the transfer in advance; it is a much easier decision at the booking stage than in the arrivals hall.
Child seats are requested through the transfer or car hire provider, with the children’s ages and any details the provider asks for. They are a request that needs confirming, not something waiting at the desk.
Luggage grows on a long-haul trip, and a vehicle that fits the passengers may not fit everything they brought. Say roughly how many bags you are travelling with when the request is made.
If you would like an essential supermarket stop on the way and you are arriving by transfer, ask when the booking is made; it is subject to confirmation.
Keep prescription medication, essential documents, chargers, a change of clothes and anything your children genuinely need during the journey in your hand luggage, subject to the airline’s current rules. This can reduce the disruption if checked baggage is delayed.

Check-out is at 11:00, and the time between is when each villa is cleaned and prepared.

If your long-haul itinerary brings you to Crete in the morning, there will be hours to fill. Tell Argyris in advance if you expect to arrive early and he will say what is possible on your dates. An early luggage drop can sometimes be arranged, depending on when the previous guests leave and on the cleaning schedule.
A luggage drop is not early check-in, and early access cannot be guaranteed.
The first evening after a long journey is not the evening to improvise.

If you are driving, plan any essential shopping stop using current opening information. If you are arriving by private transfer, ask in advance whether the transfer company can include an essential supermarket stop; this remains subject to confirmation.
If you have booked directly, a Cretan Breakfast Basket will be waiting with a few local essentials for your first mornings. It is not a complete grocery supply or an evening meal. Do not rely on shops or restaurants being open after a late arrival.
A slower first full day can help the group adjust after the journey. Leave room for rest, the villa and a simple local outing rather than committing the first morning to a demanding schedule.

Extended families and groups may arrive on different itineraries. Some fly direct, others connect, and arrival times can be a day apart.

Plan each household’s arrival separately rather than trying to synchronise them: separate transport, separate shopping, separate first evenings. Send Argyris each itinerary, and let the group properly reassemble on the first full day rather than in an arrivals hall.

No. Every North American itinerary connects, either in Athens or at a European hub. Athens to Heraklion takes about 55 minutes with several flights a day; Chania has fewer. Send Argyris the complete routing once it is booked and the arrival can be planned around it.
