How to Organise a Wedding Guest Stay in Crete

You have the venue and the date. Now forty people are asking where to stay. This guide turns that into a plan in six steps: from the guest list to the morning after the wedding, with one clear list for every household.

The Plan at a Glance

StepWhat to doWhen
1. Venue and dateConfirm the venue, date and ceremony timeFirst
2. HouseholdsDivide the guest list into the groups that will share a villaBefore you ask for prices
3. Villa setupOne villa, two villas or MAZIAs soon as the households are clear
4. BookingCheck availability, book and tell guests who paysAs early as possible
5. ArrivalsRecord each household’s flight, car or transferWhen flights are booked
6. Wedding day and afterGetting ready, transfer there and back, a slow morning afterThe last few weeks

1. Start with the Venue and the Date

“Near Rethymno” can mean very different journeys. Start from the exact venue, the ceremony time and the likely finish time; the distance and the late return decide more than the view.

Distances from Asteri Village to nearby venues, such as Agreco Farm (approx. 6.5 km) and Rethymno Old Town (approx. 12 km), are in Best Villas near Rethymno for Wedding Guests.

Accommodation only: the villas are places for guests to stay. Ceremonies, receptions and parties take place at the wedding venue.

2. Turn the Guest List into Households

Forty guests is not a plan. Ten households is. Our four villas together sleep up to 28 (MAZI 20 and Villa Argiris 8), so a larger list will need other accommodation as well. Write down who stays together, how many bedrooms each group needs and anything that affects the room choice. For example:

Twin bedroom: the two beds can be joined into a double (Villa Myrrini).
Twin bedroom: the two beds can be joined into a double (Villa Myrrini).
HouseholdGuestsBedroomsNeedsArrival
Bride’s parents and grandmother3 adults2Grandmother: fewer steps, ground-floor bedroomHeraklion, 3 days before
Groom’s sister’s family2 adults, 2 children2A cot, a children’s pool would helpChania, 2 days before
University friends6 adults3Own bathroom for each coupleHeraklion, the day before

With this list, the villa choice usually becomes obvious. Or use the online group planner: add each household, choose a villa and see straight away what fits, then send the plan to Argyris. For older guests, ask about steps, the entrance and the bathroom; the steps at each villa are listed in Best Villas near Rethymno.

3. Choose One Villa, Two Villas or MAZI

GuestsSetup
Up to 6 or 8One villa: Villa Asteri (8), Villa Kitron (6), Villa Myrrini (6) or Villa Argiris (8)
Up to 12 or 14Two villas in Asteri Village as MAZI, each household in its own home
Up to 20MAZI with all three villas, 30–90 m apart
More than 20MAZI plus Villa Argiris in Stavromenos, about 2.6 km away: up to 28 guests in two locations. Villa Argiris is booked separately and is not part of MAZI.
Villa Asteri from above: the stone house, both pools and the enclosed garden.
Villa Asteri from above: the stone house, both pools and the enclosed garden.

Each villa in MAZI keeps its own kitchen, living space and pool, so households can share meals and still close their own door. The price is the same as booking the villas separately. For a side-by-side comparison of bedrooms and bathrooms, see Best Villas near Rethymno for Wedding Guests; for costs per person, see One Villa or Multiple Villas?

4. Book Early and Tell Guests Who Pays

  • Book as early as possible. The villas are private homes with limited dates; two or three villas on the same dates in high season go first.
  • One enquiry for MAZI. Argyris sends one combined proposal; each villa keeps its own booking reference and payment.
  • Who pays: usually the couple pays for the parents or the wedding party, and other guests pay for their own villa. Say it clearly; you can use the ready-made text for your wedding website.
  • Minimum stay: varies by villa and season, and the booking engine confirms it for your dates. For shorter stays, ask Argyris.
  • Date changes and cancellation: according to the terms of each booking; confirm them before you pay.

5. Plan Each Household’s Arrival

Guests rarely land together. Name one lead guest, and for every household record:

Villa Kitron from the village road: the gate, the paved parking and the house.
Villa Kitron from the village road: the gate, the paved parking and the house.
  • the airport and arrival time: Heraklion (approx. 73 km, around 60 min) or Chania (approx. 79 km, around 75 min);
  • car hire or private transfer, and child seats if needed;
  • the number of suitcases and the wedding outfits (in hand luggage);
  • who talks to Argyris about check-in (15:30) and check-out (11:00).

From the airport, hire a car or book a private transfer. Transport is not included in the villa stay; Argyris can introduce independent local providers, who confirm the vehicle, price and terms directly. More in Arriving from Abroad.

6. The Wedding Day and the Morning After

The day goes more smoothly when a few things are agreed before it.

A Cretan lunch at Villa Asteri. A private chef can be arranged at every villa, on request.

  • Getting ready: guests can get ready at the villas. Tell Argyris in advance if a photographer, hairdresser or make-up artist will visit.
  • Getting there and back: we recommend a private transfer to the ceremony and reception and back, so nobody drives after the celebration. Agree the pickup point and return times before the day.
  • A second pickup: families with young children or older guests often want to leave earlier.
  • The morning after: keep it free. A late breakfast by the pool or a shared lunch at one villa works better than an excursion. For a meal together, agree with Argyris which villa and how many people; a private chef or catering is available on request.

Time Together Before and After the Wedding

Guests travel far for one day. A few shared moments around it turn the trip into a memory, and nobody has to organise much:

Keep one or two shared moments and leave the rest free. If you prepare welcome bags for guests, ask Argyris whether they can be left in the villas before arrival.

Stay a Few Days Longer: A Base for Rethymno, Chania and Heraklion

Many guests fly a long way for the wedding. The villas are a good base to turn the trip into a holiday, with three cities within reach:

ChaniaAbout 75 minutesThe Venetian harbour, the old town and the lighthouse

Guests can come back to the same villa every evening instead of changing hotels, and each household can plan its own days.

One Information Sheet for Every Household

Send one short sheet, and update that one instead of correcting details across group chats. Include:

  • each household’s villa and the map pin;
  • check-in time and the lead guest’s contact;
  • the venue, the ceremony time and the pickup point;
  • the transfer there and back, with return times;
  • the plan for the morning after.

Keep door codes, key instructions and personal travel details in direct messages, not on a public wedding website.

From Argyris

The most useful information is not only the total number of guests. Tell us which people form natural households, where the wedding is and how they arrive. Once those three things are clear, it becomes much easier to choose the right villa arrangement and avoid unnecessary movement.

FAQ

Frequently asked questions

Planning

How do you organise a wedding guest stay in Crete?

Start with the confirmed venue and dates, divide guests into real households, choose one villa or MAZI, verify access needs, record arrival waves and leave enough time around the wedding day.

Who should coordinate a wedding guest stay?

Choose one lead guest before arrival. That person should hold the current household allocation, arrival waves and transport plan, and share the same confirmed information with every household. Argyris can then answer practical accommodation questions through one clear contact.

How many nights should wedding guests stay?

It depends on how far guests travel. The minimum stay varies by villa and season, and the booking engine confirms it for your dates. Guests from Europe often stay about a week; from the US or Australia, longer. Arrive at least a day before the wedding and leave a slow day afterwards. Many guests add a few days: from the villas, Rethymno is about 15 minutes away, Heraklion about 60–70 minutes and Chania about 75 minutes.

Villas and booking

Can wedding guests stay together near Rethymno?

Yes, depending on current availability and the group’s household structure. MAZI combines two or three of Villa Asteri, Villa Kitron and Villa Myrrini in Asteri Village, accommodating up to 12, 14 or 20 guests while retaining separate private spaces.

Should every wedding guest stay in the same villa?

Not necessarily. One villa can work for one household or a smaller group. Several nearby private homes may work better when different households need privacy, different bedtimes or separate arrival plans. For a side-by-side comparison of bedrooms, bathrooms and capacity, see Best Villas near Rethymno for Wedding Guests on this site.

When should wedding guests book?

As early as possible. The villas are private homes with limited dates, so the earlier guests book, the more choice they have, especially in high season. Availability is confirmed for the actual dates.

Is there a minimum stay?

Yes. The minimum stay varies by villa and season, and the booking engine confirms it for your dates. For a wedding weekend or another short stay, ask Argyris what is possible.

Arrivals and the wedding day

Can Amazing Villas in Crete help arrange transport for wedding guests?

Argyris can help guests arrange car hire, private transfers with a driver or larger vehicles for group transport through independent local providers. Availability, vehicle type, price and booking terms are confirmed by the provider for the specific dates. On the wedding day we recommend a private transfer to the ceremony and reception and back to the villas, so nobody needs to drive after the celebration.

Can wedding guests get ready at the villas?

Yes. Guests can get ready for the wedding at the villas. If a photographer, hairdresser or make-up artist will visit, tell Argyris before arrival.

Send Argyris Your Household List

Send the venue, dates, households, bedroom needs and arrival times. Argyris can then suggest one villa, two villas or MAZI, and how to place each household.
